New cancer patients, especially those just recently diagnosed, often feel overwhelmed. At the UTMB Cancer Center, we feel it is our job to make you feel welcome and to assist you in making appointments, accessing your medical team and understanding your treatment. Here are some tips for making your first and follow up visits as smooth as possible.
Scheduling an Appointment
Call The UTMB Cancer Center Referral Office at (800) 917-8906. Regular business hours are 8 a.m. to 5 p.m., Monday through Friday. Please leave a message after-hours, and our representative will contact you the very next business day.
Our appointment specialist will collect the necessary information required to pre-register you and to make your medical appointments. Please understand that while we will try to answer your questions, we will not be able to provide medical advice over the telephone.
Information We Need to Schedule Your Appointment
When you call our Referral Office, we will require specific information from you in order to complete the appointment process. Please have the following information ready when you call for your appointment:
- Your personal contact information (address, phone, etc.)
- Details of your diagnosis (for example: type of cancer, results of biopsy, x-rays or scans)
- Information about previous treatment you have received
- Names and contact information for physician(s) who diagnosed you, including your primary care physician
- Insurance information, including any necessary pre-authorization.
In order to make your first visit as productive as possible, we will also ask that you immediately request that you forward certain medical information in advance of your first visit. This may include: x-rays, CT (cat) scan films/reports, pathology slides/reports, surgical reports and a summary of your to-date treatment.
After Your Appointment Is Scheduled
While our appointment specialist will review expectations for your first visit over the telephone, the UTMB Cancer Center will also send you an orientation packet prior to your appointment. This packet will review expectations for your first visit, list appointment time(s) and locations, and provide a map of the campus, for your easy reference.
