11/14/2007 – Important Holiday Travel Information

8/11/2006 - Airport Security Changes
The Transportation Security Administration (TSA) will be implementing a series of security measures - some visible and some not visible - to ensure the security of the traveling public and the nation's transportation system. TSA is immediately implementing changes to airport screening procedures. Please see the TSA webpage for complete information. www.tsa.gov/press/happenings/threat-change.shtm

8/11/2006 - Southwest Airlines Ticketing Changes
As of August 1st Southwest Airlines requires all reservations booked, via a travel agency or via their 800 reservations number, to be ticketed (purchased) within 24 hours. This rule applies to all types of fares or ticket types. Southwest made the change to their policy to correct issues of double bookings that are never cancelled.

Travelers/arrangers will no longer be able to make a Southwest reservation through the travel agency and instruct the agent to hold the booking for longer that 24 hours as unticketed. Again, if a reservation is not ticketed within 24 hours, Southwest will automatically cancel the reservation.

07/14/2006 - Beware of Express Checkouts
Many hotels offer express checkouts as a courtesy so customers can avoid the traditional front desk checkout process. Often hotel staff will slip a summary of charges under the customer’s door. Travelers should be cautious in using such express checkouts as these summaries may not be as detailed as the receipts provided to customers checking out in the traditional manner.

Also, these summaries may not provide sufficient proof that the expenses were actually incurred and paid. For example, a statement that the customer’s credit card will be charged unless the customer indicates there is an error is not sufficient proof that the lodging expense was incurred. The express checkout may also lack additional charges such as business-related phone calls that occur after the summary is printed. If the traveler chooses the express checkout option, he or she should be prepared to provide documentation showing proof of payment.

According to Section 3.13 of the State of Texas Travel Allowance Guide (TAG), the name and address of the commercial lodging establishment, the name of the traveling employee, the single room rate, and a daily itemization of the lodging charges must be included on a lodging receipt. If these items are not listed, additional documentation must be provided.
