Step 3

Form a committee

Regardless of the size of your school, a committee with the support of a faculty advisor is vital. To insure the success of your committee, someone should fill each of the following positions:

Campaign Coordinator
We suggest that a junior or senior work together to fill this role. The responsibilities include:

  • Coordinating all blood drive details with your UTMB Blood Bank Community Relations Representative, Sheryl Dickerson or Robert Runkle.
  • Keeping your school administration and faculty advisor informed.
  • Directing the other coordinators and monitoring all aspects of the blood drive.
  • Working with your promotion coordinator and UTMB Blood Bank Community Representative to plan an assembly or educational program to promote your drive.
  • Asking the school nurse to be present during the blood drive.

Promotion Coordinator
This person will:

  • Order promotional materials from your Community Blood Representative, Sheryl Dickerson or Robert Runkle. UTMB Blood Bank provides pre-printed flyers, posters, banners, table tents, etc. to help with your drive.
  • Recruit donors from senior centers and retirement villages - there is no age limit to donate blood!
  • Promote the blood drive to students, faculty and other school personnel such as: cafeteria and custodial workers, bus drivers, booster groups, school coaches... and don't forget about staff from elementary and middle schools in your district.
  • Know the facts about UTMB Blood Bank and the donation process. For specific questions, call 409-772-4861 or 1 (866)437-6423.

Recruitment/Scheduling Coordinator
This position is responsible for:

  • Distributing sign-up forms and reminder slips.
  • Making public announcements reminding students to bring their ID to the drive and to drink plenty of fluids the day before the blood drive.
  • Sharing information and be prepared to answer questions. One way to prepare is to role-play different recruitment scenarios. Know how to overcome common objections like "It will hurt?" or "I may pass out?".

Recognition Coordinator
The person in this position will find ways to recognize those who participated in the blood drive.

Volunteer Coordinator
This person will work with faculty advisors and Blood Center Program Consultants by:

  • Getting volunteers to help sign in and escort donors - parents are an excellent resource to monitor donors after they have given blood.
  • Arrange for volunteers to pass out refreshments.

Now that you've scheduled your drive and formed your committee, you're ready to get the word out!
