Timekeeper Pay Codes

ADL ASSISTANCE DOG TRAINING LEAVE
  • Must have disability requiring use of an assistance dog AND be currently enrolled in a dog assistance training program
  • Maximum of 10 days each fiscal year may be used
  • Does not decrease leave balances
AL ADMINISTRATIVE LEAVE
ALE ADMINISTRATIVE LEAVE - for EXPOSURE TO INFECTIOUS DISEASE
  • Used only with approval from Human Resources
ALS ADMINISTRATIVE LEAVE - for WORK – SCHOOL
ALW ADMINISTRATIVE LEAVE - for WEATHER
  • Approved by Executive Vice President

 

APC ADVANCED PRECEPTOR PAY
BCT, BHL, BPH, BSL, BVA, BLA, BLW are TYPES OF PARENTAL LEAVE CODES, WHEN EMPLOYEE CANNOT USE FMLA, as detailed below:
  • These are TYPES OF Parental Leave used for employees who are not eligible for FMLA due to not fulfilling the length of service requirement of 12 months
  • Length of Service is less than 12 months but greater than 4 ½ months
  • Limited to 12 weeks for birth or placement by adoption or placement by foster care
  • Not to be used for pregnancy, use accrued SL/SLU. For Pregnancy when not FMLA eligible, must use appropriate LWOP/LWOU or LOA (LWP/LWU in ETC), once SL/SLU is exhausted.
  • Decrements employee's accrued leave time, if applicable.
  • Regarding BLA and BLW must be recorded while employee is on Leave of Absence or Leave Without Pay
  • If less than 4½ months, use sick leave balance available and place the employee on LOA, if unable to return to work.

BLW BIRTH - LEAVE WITHOUT PAY - NOT FMLA
CA COURT APPEARANCE
  • Will be used if someone is called for Jury Duty (JD is no longer valid)
  • Will be used if someone is subpoenaed to appear or testify in court on behalf of UTMB
  • Cannot be used if employee is called to testify or appear for reasons other than the behalf of UTMB. (for example, cannot use if being sued)
  • Proof of appearance is required
  • Does not decrease leave balances
CNP CHARGE NURSE PAY
  • Will be used in Nursing Areas only
CT COMPENSATORY TIME TAKEN
CTU COMPENSATORY TIME TAKEN - UNSCHEDULED
DL DISASTER LEAVE
  • Must be approved by the Vice President of Business and Administration
  • Used for hurricanes and other disasters
  • Does not decrease leave balances
DSW DISASTER WORKED
  • Used to track days taken for certified disaster service volunteer to participate in specialized disaster relief services at the request of the American Red Cross
  • Does not decrease leave balances
ECM ECMO PAY
EDC EDUCATION RECORDED WHICH CAUSED COMP TIME TO BE EARNED

EVE EVENING SHIFT DIFFERENTIAL
FCT FMLA + COMP TIME TAKEN
  • Record FCT when employees use their Comp time and have been granted Family Medical Leave
FHL FMLA + HOLIDAY TAKEN
  • Record FHL when employees use their Holiday time and have been granted Family Medical Leave
FLA FMLA + LEAVE OF ABSENCE
  • Record FLA when an employee is put on a Leave of Absence for Family Medical Leave purposes (FLOA form completed)
FLW FMLA + LEAVE WITHOUT PAY
  • Record FLW when an employee is out of accrued any leave time, not put on Leave of Absence, and has been granted Family Medical Leave
  • Max LWOP time is 40 hours
FPH FMLA + PERSONAL HOLIDAY
  • Record FPH when employees use their Personal Holiday and have been granted Family Medical Leave
  • Even though UTMB does not accrue Personal Holiday after 09/01/02, many employees still have it in their balances to use
FSL FMLA + SICK LEAVE
  • Record FSL when employees use their sick leave and have been granted Family Medical Leave
FSP FMLA + SICK POOL
  • Record FSP when an employee is using time granted from the sick leave pool and has been granted Family Medical Leave
FVA FMLA + VACATION
  • Record FVA when employees use their vacation and have been granted Family Medical Leave
FL FUNERAL LEAVE
FPL FOSTER PARENT LEAVE
  • Record for meetings with DPRS concerning foster child placed in their home
  • DPRS = Texas Dept. of Protective & Regulatory Services
  • Proof of each DPRS meeting must be given to supervisor
  • No limit to number of DPRS meetings
  • Does not decrease leave balances
HLU HOLIDAY TAKEN - UNSCHEDULED

HPY HOLIDAY PAID AND WORKED
  • Must be approved by entity level
  • Load with hours worked
  • Must have accrued balance

  • Use on FTIM: when out of all accruals
  • Use on FLOA: effective date = first date after all accruals used

  • Optional for Non-Classified Employees Only
  • USE ONLY FOR MONTHLY-PAID EMPLOYEES
  • NOT for Biweekly-paid employees at all, so it is not an ETC code
  • Used rather than AL (Administrative Leave) if Dept has used AL in the past
  • Monthly paid employees are Faculty, Non-teaching, or Administrative and Professional "0xxx" job codes
  • ONLY for those NON-CLASSIFIED employees' conferences, travel or
    time away from office for UTMB business
