FROM THE DESK OF THE INFORMATION SECURITY OFFICER

This is a reminder to all employees – as we slowly go through our recover effort, we need to keep information security in mind. All types of data processing and storage equipment/media have been damaged beyond repair and will need to be replaced. This equipment cannot be arbitrarily thrown away. If any damaged device has data storage capabilities which may contain sensitive information, the hard-drives, removable media and/or non-volatile memory needs to be erased or destroyed in accordance with published policies. Employee’s are also reminded of the accountability aspects of the equipment as well, ensure that all accountable items are properly removed from UTMB’s inventory prior to disposal and/or destruction.
Some prevalent devices with storage capabilities are:
| Desktop Computers | Laptop Computers |
| Portable Hard Drives | Blackberry’s |
| USB Flash Drives | SD Memory Cards |
| PDA’s | Floppy’s |
| CD/DVD’s | Data Backup Tapes |
Please use the “Hurricane Ike Equipment Disposition Form” found on the Asset Management website, instead of the standard Equipment Disposition Form in order to expedite the process. Please note that you will still need to obtain authorization signatures. If you need assistance or further information, please contact Asset Management or the Information Security Administer assigned to your area. If they are not available contact Bob Shaffer at rvshaffe@utmb.edu.
By protecting yourself you protect UTMB
Remember, SECU-R-ITY
Sincerely,
Bob Shaffer
Information Security Officer
