Q. What are the hours of operation for Supply Management?
A. Supply Management Administration, Customer Service, Computer Operations, Compressed Gas Information and Hospital Operations Administration are available from 8 a.m. to 5 p.m.
Monday through Friday, excluding holidays. Please call ext. 21161 for holiday information.
Consumable Supplies/Inventory (ext. 25364) operates from 7 a.m. to 5 p.m. Monday through
Friday, and 6 a.m. to 2:30 p.m. Saturday and Sunday.
Hospital Operations Storeroom (ext. 22695) operates 24 hours a day, 7 days a week.

Q. Who and what is Supply Management?
A. Supply Management consists of Clinical Purchasing, Materials Management Inventory, Materials Management’s Computer Operations, Materials Management Hospital Operations, and Omnicell systems support. Supply Management is the process for ordering, stocking and managing UTMB’s everyday medical, clinical supply needs. Supplies are monitored and measured to ensure availability and best cost.

Q. What are my orders called if it’s now Supply Management?

A. The orders are still identified as Materials Management Orders based on wording in UTMB’s
systems.

Q. Whom do I call in regards to my Materials Management order?

A. Order information call ext 25364; Delivery Information call ext 25327; Billing information call 21161

Q. Can new items be stocked in the warehouse or Hospital Storeroom?

A. Yes. First fill out and submit the Product Request Form. The product will be carefully
evaluated by a Product Analysis Committee that will determine how best to manage the product
within the supply chain.

Q. Where do I get a Product Request Form?

A. Please call Supply Management, ext. 21161 to obtain a Product Request Form. The form must be filled out prior to evaluation and adding of the new product.

Q. What is a supply chain?

A. Supply chain is the process an item goes through from the time it is manufactured up to the
time it is received by the end user.

Q. When does my EDS order get processed and delivered?

A. Once an order has been approved by the ordering department, the order is forwarded to
Supply Management. Orders are pulled from the EDS system into the Supply Management
system for processing at 10:00 a.m., 1:00 p.m., and 3:00 p.m. Most orders are delivered within
24 hours of the time the order is processed in the Supply Management system.

Q. Whom do I call regarding delivery of my order?

A. Please call Delivery, ext 25327.

Q. How do I return Supply Management items I don’t need or want?

A. Logistics Supply Management has a return policy. For a copy please call ext. 21161. If the
order was within the last three days please call ext. 25364.

Q. Whom do I call regarding problems with my Materials Management order?

A. Please call Supply Management Customer Service, ext. 25364 or Delivery, ext.25327.

Q. Whom do I call regarding cylinder, gases, and liquid nitrogen orders or issues?

A. For ordering, returns, distributing, or scheduling please call please call Compressed Gas Information,
ext. 25364.                                                                                                                                                               

Q. Whom do I call for coordination of hurricane supplies?
A. Please call the ext. 21161.

Q. What number do I call for Omnicell related issues (Systems, Training, and Database)?

A. Please call 70571.

Q. What number do I call for Hospital Storeroom orders?

A. Please call Hospital Operations Storeroom, ext. 22695, 24 hours a day, 7 days a week
