What is UTMB’s tax number?
UTMB’s employer identification number is 746000949.

What is UTMB’s tax status for charitable contributions?
UTMB is a tax-exempt charitable, educational and scientific organization under Section 170(c)(1) of the Internal Revenue Code. As part of the State of Texas, UTMB is a naturally exempt entity that is not required to seek specific exemption under Section 501(c)(3) of the Internal Revenue Code. Gifts to UTMB are deductible to the full extent of the law.

My gift receipt uses the term quid pro quo. What does that mean?
Some gifts to UTMB may, in part, pay for goods or services you have received from the university. The value of any such goods and services – the quid pro quo – are deducted from your gift for IRS purposes. For example, at a fundraising auction sponsored by UTMB you may have successfully bid $1000 for an item with a fair market value of $800. The quid pro quo is $800, and your deductible net gift is $200. UTMB is required by the IRS to declare on your receipt if any substantial quid pro quo was given to you as the result of your gift. The IRS rules are complex; you may wish to discuss this issue with your tax consultant or read the following IRS document (PDF, 940KB, Get Reader): IRS Publication 1771

Can I make an online credit card gift to UTMB?
Yes, by visiting UTMB's Online Giving web site. While electronic bank drafts are not yet available on our website, you may make the arrangements for such a gift by contacting Christina Cimrhanzel at 409-772-3952 or clcimrha@utmb.edu.

I made what I considered my personal gift to UTMB, but paid with a company (or foundation) check. The receipt was made out to the company (or foundation). Did I get credit for this gift?
UTMB is required by law to receipt the legal entity making the gift, in this case your company (or foundation). We typically give you personal credit in our records for having made the gift possible, and to recognize you as a donor, but cannot by law provide an IRS receipt to you personally.

Does UTMB accept gifts of real or personal property?
Yes, quite routinely. For gifts valued by the donor at $5000 or more, the donor must typically seek an independent professional appraisal for tax purposes. The property being donated must be approved by UTMB in advance, and the university must be able to use the property or sell it. Is my gift tax deductible?

Yes. Your gift is tax deductible as permitted by law.

How does the family or my friend know this gift has been made?
Once your gift has been received, a personal letter is sent to the family or honoree to inform them of your expression of generosity and thoughtfulness. The amount of your gift is not disclosed.

How do I know the family or my friend has been notified of my gift?
A personal acknowledgment will follow your gift.

What are my payment options?
Memberships can be charged. Payments can be spread out over the course of your membership year (i.e. monthly, quarterly). UTMB faculty and staff have the option of payroll deduction.

I have a web site on my own server and would like to get it hosted on an institutional server. What do I do?

Media Relations
What happens when the media contact me directly?
For those that have worked with the media and with Public Affairs on a routine basis, you should of course feel free to respond to requests for telephone interviews. After your interview, please contact Public Affairs 772-2618 so that they can be sure to monitor any media coverage that may result.

What happens if the media asks me controversial questions?
In the case of a controversial situation or if issues of patient confidentiality are involved, you should contact Public Affairs first. We will coordinate the university’s response to the request for information. It is vital that the institution put out consistent messages to the media and that we do our best to head off any situations that could reflect negatively on UTMB.

The media has never interviewed me, how do I act?
If you haven’t worked with the media and/or feel uncomfortable responding on your own, contact us. We can provide “coaching” in advance of the interview, help you identify questions that are likely to be asked and help draft responses. We can also set up a telephone interview as a conference call if you would like us to be present.

What if I don’t want to be interviewed?
In the event you would rather not be interviewed, please let Public Affairs know about the inquiry so that we can assist the media in finding another interview subject.

What happens if my patient approaches the media and wants me to participate in the interview?
Sometimes patients approach newspapers or television stations on their own because they want “to tell their story to the press.” They may ask you as a clinician to join them in talking about their care at UTMB. You should contact Public Affairs even if patients or their family members have approached the media themselves or agreed to participate in a media interview.

The media wants to come to campus for an interview. What happens now?
In almost all cases, a Public Affairs representative should accompany reporters and/or photographers when they visit the campus to ensure that procedures regarding security and confidentiality are being followed. Public Affairs will handle parking arrangements for the media, advise on appropriate locations for filming, provide patient consent forms, etc. Call Public Affairs if you are asked to grant an on-campus interview.

How do I get promotional materials reviewed to make sure they're consistent with UTMB identity standards?

I want to purchase some promotional items from an off-campus vendor. How do I do that?
First, contact the Publications Division of Public Affairs to ensure the design and wording are consistent with UTMB identity standards. (If you're ordering specialty items such as imprinted pencils, pens, coffee mugs, key chains, etc., be sure to let Public Affairs know the size of the image area you have to work with.) Then, contact Logistics/Acquisition and ask to speak to your department's purchasing representative. That person can assist you with getting any required competitive bids to ensure you're getting the most cost-effective end product.

Do you have any materials I can use for staff or student recruitment?
