By-Laws
I. NAME
The name of this organization will be
SUPPORT STAFF PROFESSIONALS (SSP).
II. OBJECT
The UTMB
Support Staff Professionals Organization’s mission is to promote
professional and personal growth.
III. MEMBERSHIP
Membership in this
organization is open to anyone currently employed by The University of
Texas Medical Branch at Galveston in any support staff position.
All prospective members
must make application and submit the membership fee to the treasurer.
Members terminating their
employment from The University of Texas Medical Branch at Galveston
automatically resign membership in the organization.
The previous year’s members
will have 60 days from the start of the fiscal year to renew their
membership, and will receive notice of the meetings through October 31
of the current year. Renewal dues must be paid prior to attending the
November luncheon. If the renewal dues are not paid prior November 1,
the member’s name will be removed from the lunch registration form.
IV. OFFICERS
The officers of this
organization shall be President, Vice President, Secretary, and
Treasurer.
To be eligible to serve,
an officer must have been a member of the organization for one year (12
months) prior to election.
Election of officers will
be held during the August meeting. A majority vote of members will
constitute the election.
President:
It is the duty of the President to preside at all meetings of the
organization and of the Executive Board, and to serve as advisor to the
Executive Board during the following year. It is the President’s
responsibility to submit the room reservation request in a time frame
recommended by UTMB.
Vice President:
It is the duty of the Vice President to perform any and all appropriate
duties in the absence of the President. The Vice President will oversee
Operations (Publicity, Program, Education, and Professionalism)
committees.
Secretary: It
is the duty of the Secretary to keep an accurate and current membership
database, e-mail group, and accurate account of the meetings and
events. The Secretary will provide ample notice of the meeting place
and time to each member. The Secretary will oversee Fellowship
(Social/Hospitality/Volunteer and Membership) committees. The Secretary
will make revisions to the Procedural Guides and Bylaws and make sure
that the updates are sent to the webmaster.
Treasurer:
It shall be the duty of the Treasurer to account for all financial
activities generated by the organization’s activities. The Treasurer
will provide monthly and annual reports to the membership. The Treasurer
will oversee the Service (Arts & Crafts and Ways & Means) and Fellowship
(Social/Hospitality/Volunteer and Membership) committees.
The Executive Board
shall be comprised of the President, Vice President, Secretary, and the
Treasurer. The Past President and the Director of Human Resources or a
designated representative shall be ex-officio members of the
Executive Board.
In the event the office of
the President becomes vacant during the year, the Vice President is
automatically appointed to fill this vacancy for the remainder of the
year. In the event the office of the Vice President, Secretary or
Treasurer becomes vacant, the Executive Board, with the approval of the
membership, shall appoint a member to fill that office for the remainder
of the year.
V. MEETINGS
Meetings of the Support
Staff Professionals will be held once a month. Reservations for
luncheon meetings shall be made in accordance with the monthly notice.
Members will pay for lunch in accordance with instructions on the
monthly notice.
Potential members may not
attend more than two luncheons as a guest before they apply for
membership.
VI. DUES
The dues for the Support
Staff Professionals will be assessed on an annual basis (September 1
through August 31).
Monies are to be drawn
from these funds to pay for operational expenses.
VII. COMMITTEES
Committee chairs will be
appointed by the Executive Board.
Arts & Crafts:
To plan and implement arts and crafts activities. The Treasurer will
serve as an ex-officio member of this committee.
Membership:
To review applications and apprise new members of the purpose and
functions of Support Staff Professionals; record reservations for each
meeting, and verify reservations at the time of the meeting. The
Secretary and Treasurer will serve as ex-officio members of this
committee.
Nominating:
Shall consist of the Director of Personnel or a designated
representative, and minimum of three members appointed by the Executive
Board. The members of the Nominating Committee will contact prospective
officers and present a slate of officers prior to the August meeting.
Nominations for each office can be made from the floor provided the
member being nominated has previously agreed to accept the office if
elected and has been a member of the organization for one year (12
months).
Professionalism/Education: To increase awareness and raise
accountability regarding professionalism at UTMB, and plan activities
that focus on education related to professionalism. The Vice President
will serve as an ex-officio member of this committee.
Program:
To plan programs for the monthly meetings with focus on personal
and professional growth. The Vice President will serve as an
ex-officio member of this committee.
Publicity/Historical:
To coordinate publicity activities, maintain the SSP website, and
collect and preserve historical material relating to the Support Staff
Professionals. The Vice President will serve as an ex-officio
member of this committee.
Social/Hospitality/Volunteer: To plan socials throughout the
year and assist with various aspects of these socials. To recruit
members to volunteer for services as needed for various events on the
UTMB Campus representing the UTMB Support Staff Professionals. To
welcome new members and work closely with all members recognizing life
events. The Secretary and Treasurer will serve as ex-officio
members of this committee.
Ways & Means:
To raise monies to support membership approved projects. The Treasurer
will serve as an ex-officio member of this committee.
VIII. AMENDMENTS
The Executive Board will
present proposed amendments to the members for vote.
