Computer access and support for UTMB students  

Outlook Web Access

 
  Outlook Web Access is a web-based version of Microsoft's Outlook email client for Microsoft Exchange mail.  It is the base email client for student use because it requires only a web browser to access email from anywhere.  You can also install the Microsoft Office Outlook email client.

Basic Functions

   

If you are using a browser other than Internet Explorer 6+, you can only use the Outlook Web Access Light client, which has fewer features but may be faster.    (You can also use the light client with IE6+.)

Logging In
1.      Go to http://webmail.utmb.edu.   (There are also links to Exchange Webmail on the UTMB Home Page under Information Services in the left-hand column.)
2.      Click the Click here to Login link.  You must have a password.  This will bring up the Office Outlook Web Access login window.
3.      Select the appropriate radio button for public or private PC.   Leave at public if unsure.
4.      Type your username, then either tab to the password box or click in the password box with your mouse.  If you hit enter after the username, the login will fail.  Three failed attempts and the Exchange Server will lock your account for 15 minutes. 
5.      Type your password (passwords are case-sensitive) and hit Enter.

Changing Your Password
It is highly recommended that you change your password AFTER you use your email the first time.  To change your password:
Make sure you have exited from Webmail.  Choose the Click Here to Change Your Password link from the UTMB Exchange home page (http://webmail.utmb.edu).  You must log in with your current password before you can make a change. When you log in to the password change utility, you will need to enter the domain  (utmb-users-m) and a backslash (\) in front of your username, e.g.,
          
User name: utmb-users-m\jpsmith
 
Note:  After changing your password there may be a 5 – 20 minute delay before your new password will be operational, so do not attempt to open your email again immediately.

Open a Message
1.      By default, contents of the Inbox are displayed in the right-hand pane of the screen.   You can select a different folder, e.g., Sent Messages, from the folder list on the left.
2.      In the message pane click on the message line and hit Enter (OR double-click).
3.      In IE6+ you can  turn on the Preview pane  to preview messages to the right or bottom of the window.

Creating and Sending an Email Message
1.       Click the New button  at the left side of the top row of buttons.
2.       Click the To… item  to select a recipient.  When the address book window appears,  type a portion of the person’s name in the box at the top or scroll through the list.  Highlight the name of the person and click the appropriate button (To->, cc->, or Bcc->) in the Message Recipients section at the bottom. Finally click the OK button.  You can also type or paste addresses in the To, Cc or Bcc text boxes.
3.       Click in the Subject box and type a brief description of your message.
4.       Click in the main area and type your message and attach files (see back) as necessary.
5.       Click the Options button and select the options you want (if any).
6.       Click the Send button  at the top left of the window.

NOTE:  To send an email to someone outside of UTMB, type the complete internet address.  For example: bubba@aol.com

NOTE:  You can save and select addresses in the contacts in Outlook Web Access.  Select Contacts from the menu on the left and add your contact information.  You can also make distribution lists from the same menu.

Reply to a Message
In the main window highlight the message you want to reply to (by clicking the line) or open the message.

1.      Click  one of  the following buttons  .

·         Reply responds to only the message’s sender
·        
Reply To All responds to the sender and all other recipients of the message
·        
Forward forwards the message to the address(es) you specify.

2       Type your message at the top of the message box.
3.      Click the Send button .

Inbox and Other Folders

Normally you see the contents of the Inbox listed in the right pane.  The Inbox is one of the folders contained in your Mailbox.  You should see several folders in the left windowpane, including your Contacts and Calendar folders.  Also important for managing your email storage are the Sent Items and Deleted Items.

Delete Unwanted Messages

1.      Click the Inbox, Outbox, Sent Items, or the folder in which you store messages.
2.      Select the message or messages you want to delete (shift or ctrl click for multiple messages).
3.      Click the Delete button  in the top menu.
4.      An alternative way to delete is to open the message and click on the delete button .
5.      There is a 200MB size limit on your mailbox. Don’t forget to empty the Deleted Items folder (in the left-hand folders list).  Using the Light client, click on the Deleted folder, put a check above all the messages, and click the Deleted button.   In the IE6+ version you can right-click on the folder and select “Empty Deleted Items.”

Attach a File to a Message

1.  In the new message screen, choose the Attachments button .

2.      Browse and locate the file to be attached.        

3.      Click the Attach button to attach the file to the message.   Click close when done attaching files.

Reading/Saving an Attachment

Attachments appear as links in messages.  When reading a message containing an attachment you can open the attachment (assuming your PC has the required program to process the attachment) by clicking on the attachment.  Alternatively you can right click on the attachment link and choose the save option.

You must log off the email session and CLOSE the web browser.  If not, others will be able to read your email.

To Log off

1.      Click the Log Off button at the upper right  and close your browser OR just
2.      Close your browser.
