Minutes

The meeting was called to order at 4:32pm, by Dr. Nikos Vasilakis, Faculty Senate Chair

Financial Reports – Aaron LeMay, CPA, JD, MSEd, VP, Financial Accounting & Reporting, Cheryl Sadro, CPA, MSM, Chief Financial Officer and Craig Ott, AVP and Controller, Finance

Mr. LeMay presented the Senate with a PowerPoint presentation for Financial Reporting for FY19 and FY20. Q&A followed their presentation.

SB212 – Carolee King, JD, SVP and General Counsel, Legal & Regulatory Affairs and Katherine Carlson, JD, Exec. Dir., and Title IX Coordinator, Internal Investigations and Title IX Office

Ms. Carlson updated the Senators with the Senate Bill 212, which becomes effective January 1, 2020. The Title IX office will communicate on how UTMB is to proceed, will be sent out at a later date, that will educate everyone what our responsibilities are with reporting SB212 incidents to the Title IX office. Q&A followed the details to come soon.

Email Security – Shelly Witter, Exec. Dir., Compliance Programs and Privacy Officer, Inst. Compliance and Bob Shaffer, AVP, Information Security

UTMB has a secured environment and emails are encrypted, if you want you can include #encrypt# on your subject line of the email. Shelly stated if working with patient information use the minimum amount of information, say use patient id instead of their name, etc. If you need to report emails send to CIRT@utmb.edu, which stands for Computer Incident Response Team (CIRT.)

Chair Announcements – Nikos Vasilakis Dr. Vasilakis updated the Senators on a few updates and discussed an IHOP policy that the University Committee reviewed and they asked for all the Senators to review this policy involving Research Space, as they had some concerns. Dr. Vasilakis will have the policy sent to the Senators asking for any comments/concerns back by December 3rd. Dr. Vasilakis reminded the Senators to share information to the faculty in their areas as needed.
