IACUC Review, Deadlines & Meeting Dates

All submissions must be made through the InfoEd protocol management and review system.

IACUC Meetings: Meetings are held twice a month. Following review by the IACUC, if a "Requires Modification to Secure Approval" (RMTSA) is determined, a "Designated Member Reviewer" (DMR) may work with the researcher until the submission is approved. The submission may be returned to Full Committee Review (FCR) as another possible outcome if called for by an IACUC member.

New/Initial protocol: Submission may be made at anytime. The submission will be on
the UTMB IACUC Protocol Eform generated in the infoEd system. These submissions will be reviewed at a convened meeting of the IACUC.

Triennial Reviews: Every approved protocol must undergo a review every three years. The IACUC office forwards renewal notifications beginning 75-days from the expiration date. Submissions may be made only after receiving a request to submit from the office. Notification are then forwarded approximately every 14-days thereafter until the submission is received. The submission will be on the UTMB IACUC Protocol Eform generated in the InfoEd system. These submissions will be reviewed at a convened meeting of the IACUC.

Continuing Reviews: Continuing reviews are required on a yearly basis for protocols that use USDA covered species. The IACUC office forwards renewal notification beginning 30-days from the the end of the year of the approval month. Notification are then forwarded every 7-days thereafter until received. Submission are completed by submitting the "Continuing form" through InfoEd. These submission are review by DMR and do not go to a FCR. Those not submitted by the end of the month they are due, will be forwarded to the IACUC committee on non-compliance.

Amendments: There are two types of amendments. "Significant Changes" as described in the IACUC Policy #6 are submitted and forwarded to all IACUC members. If no member requests for the amendment to go to a FCR, then a DMR will be assigned to work with the researcher until the submission gains an approval. Veterinary Verification and Consult (VVC) is a expedited review process. Only items as outlined in IACUC Policy #6 can be approved using this method. An ARC veterinary must be consulted prior to submission for this method to be used.

Emergencies will be reviewed and if justified and verified, processed by an available review mechanism approved as outlined in our Assurance with the Office of Laboratory Animal Welfare (OLAW).
