No-Cost Extensions

Items Needed

This is the information you should submit to your Grants and Contracts Accounting analyst to request a no-cost extension. Please gather all information together and submit at one time as a letter from the PI.

  • Number of months for the extension
  • Proposed budget period end date
  • Proposed project period end date
  • Amount of unobligated balance
  • PI effort level
  • IRB and/or IACUC approval dates if applicable
  • Current Progress Report
  • Full Budget Document
  • Justification Document

No-cost extensions (NCE) are requests for additional time to complete the award, but without a request for any additional funding; the project’s originally approved scope will not change.

A no-cost extension might be needed to:

  • Ensure adequate completion of the originally approved project
  • Provide support while a competing continuation application is under review
  • Permit an orderly phase out of a project that will not receive continued support
  • Finalize the analysis of the data

The fact that funds remain at the expiration of the award is not, in itself, sufficient justification for an extension

The Authorized Institutional Official has the authority to grant a first no-cost extension for federal awards in accordance with expanded authorities. The principal investigator should send an NCE request to the Grants and Contracts Accounting analyst at least 15 days prior to the project’s expiration.

The Authorized Institutional Official notifies the federal agency that a no-cost extension has been granted, and Research Administration updates the appropriate PeopleSoft database.

A second no-cost extension requires prior approval from the sponsor. Please work with your GCA analyst to submit this request to UTMB's signing official.
