Supply Chain Management: New Employee Corner
If you are new to UTMB and to the Supply Chain Management organization, welcome and thank you for joining us. To help you make your transition a smooth one there are a few things you should know:
Supply Chain Management employee files are centrally located in the office of Shared Administrative Services (SAS), 1902 Harborside, room 2.134. Official UTMB employee files are maintained by Human Resources - Employee Records.
UTMB Compliance training is assigned to all employees and may be accessed in the Online Training system. The Information Protection Training course must be completed on-line within your first 30 days of hire at UTMB. The first time you log into Online Training you will be asked a series of job related questions that together form your profile. Answer these questions as accurately as you can. Some training courses are assigned based on your profile. If your job duties include supervising other employees you will be assigned the course ADA Training for Supervisors, an on-line course which needs to be taken only once. If you have transferred into or within Supply Chain Management and your job duties have changed you should update your profile. If you believe you have not been assigned courses appropriate for your job duties within Supply Chain Management you should notify your supervisor. If you prefer classroom training you may sign up in Online Training for dates and times available. You are expected to complete all mandatory compliance courses by the due dates indicated in Online Training.
You should meet with your supervisor within your first three days of employment to discuss outcomes and expectations relative to your job. Annual performance appraisals are held at the end of each calendar year. The UTMB Employee Evaluation Form has four sections:
- UTMB Core Behaviors - employees are expected to conduct themselves in a team based and professional manner.
- Compliance - employees are expected to adhere to UTMB and Supply Chain Management policies, for example use of unscheduled leave, internal controls, and completion of mandatory compliance training.
- Job Standards and Work Outcomes - employees should talk to their supervisor about SMART Goals for job outcomes.
- Development Opportunities - employees should talk to their supervisor about SMART Goals for personal and career development.
Supply Chain Management Policies, located on the Employee page, supplement the UTMB Institutional Handbook of Operating Procedures (IHOP). Employees are accountable for knowing and acting according to these policies.
If you are new to UTMB your initial six (6) months of employment is a probationary period. You will serve only one (1) probationary period at UTMB.
Time & Attendance
If you are a classified employee you will call into the electronic time capture system KRONOS to record your time. Calling into the system is referred to as “clocking in” and “clocking out”. Leave requests or error corrections must be submitted in SAS Online. Click on the Shared Administrative Systems (SAS) link on the Supply Chain Management Home page and log into SAS Online using your email user id and password, or log into My UTMB. It is important to clock in and out as appropriate for your job and to submit leave requests and error corrections timely. To receive correct pay you must have correct time in KRONOS.
