Implementation Announcement

The approved Blackboard and Panopto Retention Policies are being implemented in Academic Year 2024-2025

Principles

• To retain Blackboard courses and Panopto videos for a period which instructors, course administrators, schools and programs find adequate and useful.
• To ensure that storage space is used efficiently, minimize the financial impact of system backups, increase disk storage and maximize system stability.

Blackboard Policy

Overview

• Official/MyStar Courses: retained for a 7-year period based on the Academic Calendar year after which the course will be deleted from the LMS.
• Ad-hoc/Non-Mystar Courses: courses with no activity for 7 years will be deleted from the LMS. Examples of courses include but not limited to are: sandboxes, orientations, any course not officially in Enrollment Services Campus Solutions/Mystar.

As an additional service, Academic Computing will maintain short-term archives for Blackboard courses.

• Archives (for deleted courses): Academic Computing maintains an archive of all deleted courses for one year. Archive files are stored outside of the LMS and will be permanently deleted after one year.
• Archives (at term end): Academic Computing maintains an archive of official/MyStar courses for one year. Archive files are stored outside of the LMS and will be permanently deleted after one year.

Panopto Policy

Overview

• Sessions not viewed in 4 years will be automatically archived within Panopto.
• Archived sessions will remain in our Panopto cloud for 3 years, after which they will be permanently deleted.
• Before being permanently deleted, users have the option to restore sessions depending on their original access.
