ASG VIII Roles and Responsibilities

Business Operations Team

Our ASG Business Operations team is led by Leti Ford.  She and her team are responsible for providing consultation, resources, submission, and issue resolution to support departmental position and employee management for the Schools of Nursing and Health Professions.  Leti’s direct reports include Yessica Chevez, Veronica Ortiz-Garza, and Aydhee Vega.  Below are the services provided by Leti and her team.  The best way to engage with this team is through the email boxes listed below.

Provide consultation, resources, submission and issue resolution to support department position and employee management.

  • Facilitate Academic Enterprise (AE) and UTMB directives regarding employee administration to support department compliance and completion according to AE and UTMB policies and due dates.

  • Annual Required Training Compliance
  • Annual Flu/TB Compliance
  • Ad hoc data reports to support departments in assessment and tracking

Facilitate Academic Enterprise and UTMB directives for business transactions to support department compliance and completion according to AE and UTMB policies and due dates.

  • Communicate to staff and faculty updates and new AE directives, practices related to business expense (procurement, travel, reimbursement) transactions
  • Serve as subject matter resource for departments providing consultation and materials to support department staff submissions to the AE Service Center (AESC)
  • Point of contact for departments to seek advance consultation for Travel, Reimbursements and other general questions to ensure accurate and complete AESC request submissions
  • Assist departments in issue resolution to provide information, guidance and liaise with the AESC and other stakeholders as needed
  • Conduct training and informational sessions
  • Other related business transaction topics and action items

Finance Team

Our ASG finance team is led by Jennifer Potrykus.  She and her team are responsible for financial data and activities that drive decision support analysis for the Schools of Nursing and Health Professions. Jennifer’s direct reports include Carolyn Bautista-Mueller, Nathan Nevelow, and Jerry Limones.  Please reach out to the individuals listed below as needed for assistance with their services provided.

Along with oversight, training and support for the entire finance team, Jennifer provides the following assistance to SON and SHP for non-research related activities:

  • Budget preparation and entry
  • Ad hoc financial data & reporting
  • Tuition & fees proposals, costs of programs, etc.
  • Proformas – decision support

Carolyn for SON and Nathan for SHP, provide the following non-research related assistance:

  • Student enrollment analysis
  • POWER and Peoplesoft approval request

  • Expense & revenue transfer request
  • Peoplesoft FMS inquiry
  • CFS set up and maintenance
  • Signature authority set up and maintenance
  • Faculty and student awards
  • SON Honor’s Program scholarships
