SOPHAS Statuses Explained: What “Received,” “Complete,” “Verified,” and “Undelivered” Mean

If you're applying to a UTMB SPPH master's program through SOPHAS, your progress is tracked through a few status labels. Knowing what each one means helps you plan around transcript posting time, verification time, and UTMB's "verified by deadline" requirement.

Key Takeaways

Received usually means you submitted, but SOPHAS is still waiting on one or more required items to post.
Complete means your required materials are in line for verification; verification can take up to 10 business days.
Verified means SOPHAS finished processing and sent your application to your selected programs.
Undelivered means an error was found during processing; you correct it and redeliver — no additional payment required.

UTMB SPPH requirements to plan around

For UTMB SPPH master's and PhD programs, make sure the following are in order before your deadline:

Resume or CV

Official transcripts from each institution attended

Statement of Purpose and Objectives (with specific prompts)

Three letters of recommendation submitted via SOPHAS — at least one from a professor or instructor (may be waivable in some circumstances)

What each status means

SOPHAS moves your application through five possible statuses. Here's what each one actually signals and what you should do.

In Progress

You haven't submitted yet, or payment hasn't been processed.

Received

Your application is submitted, but SOPHAS shows one or more required items as missing or still processing. Two common reasons:

1. Transcripts have been received but not yet posted — posting can take up to 5 business days after receipt.
2. If you used Professional Transcript Entry (PTE), entry can take up to 10 business days, and you must review and approve it.
Complete

All required materials that SOPHAS uses to begin processing are received and your file is in the verification queue. Once Complete, it can take up to 10 business days to become Verified.

Verified

SOPHAS has processed your application — including calculating your SOPHAS GPA, if applicable — and delivered it to your selected programs. This is the status UTMB SPPH requires by the deadline.

Undelivered

An error was found during processing and the application was returned to you for corrections. Fix what's flagged, then redeliver so processing can continue. No additional payment is required.

The path from submission to verified

The flowchart below traces the full path an application can take.

Build SOPHAS application
Request transcripts + letters of recommendation
Pay & submit
Status: Received
Transcripts post
up to 5 business days
Letters submitted
electronically via SOPHAS
PTE used?
entry + approval step
Status: Complete
Verification queue — up to 10 business days
Status: Verified
Sent to your selected programs
Status: Undelivered
Error found during processing
↓ Correct flagged items
↓ Redeliver (no extra payment)
↓ Re-enters verification queue

Building backward from your deadline

UTMB SPPH requires applications to be verified before the deadline, so the verification window should factor into how early you submit. Use business days, not calendar days, when planning.

Transcript posting
Up to 5
business days after SOPHAS receives your transcript
Verification processing
Up to 10
business days after your application becomes Complete

If you're stuck on Received

Check your item-level status first, then work through these steps.

1
Open Check Status and review the item-level status for each transcript and each letter of recommendation.
2
If a transcript shows "Not Arrived," confirm you listed the school under Colleges Attended before ordering, and that the transcript was sent using an accepted method. Electronic ordering is recommended where available.
3
If letters are still pending, send recommenders a short follow-up that includes the date you need to be verified, your resume or CV, an optional draft statement, and a reminder that UTMB SPPH requires three letters submitted via SOPHAS.

Frequently asked questions

Do I need to wait for everything to arrive before I submit?

You can submit before every item posts, but verification won't begin until all required items are in place. Submitting early gives recommenders and transcript providers time to meet your timeline.

If my application is Undelivered, do I pay again?

No. Correct the flagged issue and redeliver your application. No additional payment is required.

How many recommendation letters does UTMB SPPH require?

UTMB SPPH requires a minimum of three letters, with at least one from a professor or instructor. A waiver may be possible in certain circumstances.
