What is OneDrive?

UTMB Information Services is migrating all data and business processes currently in iSpace (Xythos) to SharePoint Online (SPO) and OneDrive, two applications within Microsoft’s Office 365 (O365) Suite.

SharePoint Online is a cloud-based file management and sharing environment from Microsoft that includes OneDrive, which allows you to store up to 1 TB of your files in the cloud.

OneDrive is web storage space free with your Office 365 account, accessible once logged in. Files may be easily saved to and from OneDrive using a web browser. OneDrive also has an app that can be downloaded from your mobile device's app service.

 

  • OneDrive folders are 1 TB (1000 GB) in size, compared to iSpace user folders at 10 GB.
  • Improved business continuity: Documents saved in OneDrive folders are stored in the Microsoft cloud, protected from the unexpected local weather and other adverse conditions.
  • Improved integration with Word, Excel, PowerPoint and other Microsoft Office products.
  • Files and documents are accessible from anywhere, with computers and mobile devices.
  • Edit, attach and approve documents with one click while you’re on the go.
  • Co-authoring empowers true collaboration at UTMB—edit documents simultaneously with teammates and colleagues across departments.

 

Migrations to SharePoint and OneDrive will occur in stages. The migration will consist of three phases: we’ll be moving department data over first, collaboration data next and then finally your user folders. Department folder migrations begin on September 23rd, 2019. 

iSpace user folders will be the last phase of the migration. These are the files that will be migrated to your OneDrive.

Your OneDrive space will be accessible through a web browser. If your Windows PC supports it, you will be able to install the OneDrive client, which will allow you to connect to your OneDrive files through File Explorer. OneDrive should not be mapped to a drive letter on your PC.

Windows computers ineligible for the OneDrive client, Macs and computers using other operating systems will connect to OneDrive via the web browser. There are dedicated apps available for mobile devices on the iOS and Android platforms.

Important: The OneDrive client will only sync with Windows computers on the UTMB network. If you aren’t on the UTMB network, access to your OneDrive data is available via the OneDrive Online Portal, using the web browser.
