Brand Compliance
To maintain a cohesive visual identity across virtual platforms:
- Use only the official institutional virtual backgrounds provided—do not create or modify your own.
- Do not reposition, resize, or recolor the logo or graphic elements.
- Choose backgrounds that are appropriate for your role, audience, and communication context.
- Avoid busy or distracting designs that compete with your on-screen presence.
- Do not add personal graphics, watermarks, or unapproved imagery.

Accessibility
Virtual backgrounds should support clarity and readability for all meeting participants:
- Select backgrounds with sufficient contrast between you and the background to avoid silhouette or washout effects.
- Avoid backgrounds with heavy gradients, tight patterns, or high-movement textures that may cause visual strain or video distortion.
- Ensure your face remains clearly visible with adequate lighting—proper lighting is as important as the background choice.
- When presenting slides or sharing content, opt for simpler backgrounds to reduce distraction.
- If your platform supports it, disable background blur or filters that interfere with the branded background.

Applying Backgrounds in Microsoft Teams
To add a virtual background in Microsoft Teams:
- Download your chosen background and save it to your device.
- In Teams, join or start a meeting.
- Before joining (or during the meeting), open More (···) → Video Effects and Settings
- Select Add new and upload the branded background file.
- Apply the background and confirm correct placement and visibility of brand elements.
- Check your camera framing so the UTMB brand isn’t cropped or blocked.

Applying Backgrounds in Zoom
To add a virtual background in Zoom:
- Download your chosen background and save it to your device.
- Open Zoom and sign in.
- Join a Meeting or Host a Meeting
- Select "Backgrounds"
- Select the + icon and choose Add Image.
- Upload the approved UTMB background.
- Adjust Mirror my video if needed. (Your background displays correctly to others either way.)
- Check your camera framing and lighting so key brand elements remain visible.
